CadCamCloud vs Google Drive for dental labs

Google Drive is the default file sharing in numerous contexts. For an Italian dental lab, however, it also represents the least suitable pattern for the medico-legal workflow.

Google Drive is widely diffused: 15 GB free of charge on every Google account, integration with Gmail, native applications on all devices. Essentially every dentist in Italy already has a personal Google account, and numerous labs receive shared Drive links daily. It is the default file sharing by inertia.

Criticalities emerge in professional use for healthcare data. Mix of personal and professional files on a single account, hosting not guaranteed in EU, no structure for orders or work item status, accidental shares remaining active for years. For personal use it is effective; for a lab producing custom-made medical devices it constitutes the least suitable pattern for healthcare GDPR.

Commercial model

Google One offers 15 GB free of charge, 100 GB at €1.99/month and 2 TB at €9.99/month. On the business side, Google Workspace starts at €5.75/user/month (Business Starter, 30 GB) and reaches €17.25 (Business Standard, 2 TB). Everything on a per-user or per-account basis.

CadCamCloud Pro €12/month annual (€15 monthly) includes 75 GB and is positioned above Google One 100 GB €1.99 on pure storage — yet the relevant comparison is not price/GB. Google Drive is a generalist storage; CadCamCloud is a work item portal with configurable forms, medico-legal traceability, ten-year archive and a flat model for the lab (client practices free of charge). Premium €29/month adds white-label and custom domain. The cost/concrete user ratio is structurally distinct.

Technical limits and retention

Google Drive supports files up to 5 TB and permanent retention for the duration of account activation. Version history for thirty days or one hundred versions (whichever limit is reached first). Generous, in particular on the free plan.

CadCamCloud accepts files up to 2 GB on Premium and Enterprise (100 MB on Basic, 500 MB on Pro). Retention is ten years with explicit medico-legal guarantee, not a by-product of the active subscription. Any termination of the contractual relationship likewise provides for complete export of medico-legal data under contract.

Compliance and privacy

Google Drive is hosted on Google's global infrastructure, without guarantee of EU residency for at-rest data. Workspace Enterprise enables regional policies at significant cost. GDPR-compliant at standard level, yet the mixed personal/professional account pattern generates practical issues: the same Google email address used for private Gmail, YouTube, Maps, also contains patient scans.

CadCamCloud is hosted exclusively in the European Union (Hetzner DE, Wasabi EU). No mix with personal accounts: every user is a professional identity linked to a practice or lab. Immutable PDF/A for each submission, conformant with AGID Guidelines. Structured audit log for every access to healthcare data.

Workflow and integration

Google Drive provides no native structure for orders, work item statuses, request forms. The entire apparatus must be constructed ad hoc on Google Forms + Google Sheets + Drive folders, with Apps Script or Zapier integrations. It functions, yet it is a structure each lab implements autonomously, fragile, non-standardised, not audit-ready.

CadCamCloud treats the order as a first-class object. Integrated form builder which the lab configures for its own work item types; each submission is structured and validated; each file has its own tracked status. Native REST API with signed webhooks to integrate management system and ERP.

Branding and extensibility

Google Drive provides no white-label. Client practices upload within the Google interface, with the Google logo prominent. A shared Drive link is and remains recognisably Google Drive.

CadCamCloud Premium provides a public portal under your domain (lab.cadcamcloud.net or, on Enterprise, orders.yourlab.com), branded with your logo, colours, price list. For the practices it is your digital lab, not a Google service.

When Google Drive is the appropriate choice

Frequently asked questions

Does using a dedicated Google Workspace account for the lab resolve the GDPR issues?

It resolves in part the issue of mixing with personal accounts. There remain: hosting not guaranteed EU on Drive Business Standard, no structured audit log on individual access to the healthcare file, and no native structure for the ten-year MDR retention. It constitutes an improvement compared to personal accounts, but does not resolve the category-level issue.

We already have a workflow based on Google Forms + Drive: is migration worthwhile?

Should the workflow be functional and consolidated, it depends on the criticality of the medico-legal audit in the specific case. For a lab with limited volume and consolidated relationships with few practices, the migration investment may not be justified. For a growing lab receiving from numerous practices and which has already encountered criticalities in reconstructing past orders, the investment is repaid rapidly.

Is it possible to continue receiving files on Google Drive from practices that do not intend to change tool?

Technically yes. In practice, once the practices view the branded portal of your lab with pre-configured forms for each work item type, migration tends to accelerate spontaneously. The practice appreciates having the history of its orders in an always accessible point.

Does Google Drive offer greater speed in transfers?

For large individual files, the infrastructures are comparable. CadCamCloud utilises chunked upload with resume to handle unstable connections — useful for large intraoral scans uploaded by practices with limited connectivity. The perceptual difference in daily use is negligible.

Does CadCamCloud offer integration with Google Workspace?

Not native. It is possible via REST API: CadCamCloud signed webhooks may trigger Google Apps Script automations on the lab side, where required. The more common pattern, however, is the opposite — CadCamCloud replaces the Drive flow towards the lab rather than integrating it.
